The Role
We are searching for an experienced Office Co-ordinator to assist us in the efficient operation of our workplace. The office co-ordinator will provide general administrative support to our team, manage calendars, restock supplies, and submit maintenance requests as needed. The co-ordinator will also serve as the first point of contact for many of our clients, greeting office visitors and answering phone and email enquiries. A personable and resourceful individual will do well in this role.

Key Objectives
• Provide strong administrative support, supporting team members to perform their roles productively and efficiently
• Communicate all announcements, policy changes, and other relevant office information to team members
• Maintain a calendar of company events, meetings, and team-building activities
• Keep all supplies stocked and office equipment in working order
• Ensure that all visitors to the office feel welcome
• Create and implement office processes designed to maximise efficiency
• Promote the office culture and help organise social events

Responsibilities
• Manage company communications, such as emails, announcements etc.
• Greet office visitors and callers, making them feel welcome and comfortable, answering any questions, and transferring callers to the appropriate people
• Support the staff as needed by completing various general administrative tasks, such as creating documents, proofreading, sending communications, and filing
• Assist with onboarding new employees
• Co-ordinate employee travel arrangements
• Schedule company events and meetings that take place in shared spaces, ensuring no overlap
• Submit work orders for any repairs or maintenance required for equipment or the office space
• Monitor office supply levels and place orders for refills
• Perform other reasonable and relevant duties as assigned

Skills and Qualifications
• 5+ years’ experience in office co-ordination, or similar role
• Detail-oriented in all areas of work
• Strong organisational skills, including the ability to co-ordinate multiple schedules and calendars
• Ability to prioritise tasks according to urgency and meet tight deadlines
• Proficiency with Microsoft Office
• Strong interpersonal skills, both in person and over the phone
• Ability to problem solve, multitask and shift gears throughout the workday
• Excellent written and spoken English

Preferred Qualifications and Skills
• Experience working with Monday.com

Schedule
• Part-time 16-24 hours per week

The Role
At Gravity Architects we are searching for an experienced Bid Co-ordinator to help us leverage the exciting opportunities across Ireland and the UK regions. In this role, you will be instrumental in leading the preparation and submission of competitions, bids and proposals to secure exciting projects that align with our company vision and strategic growth plan.

Key Responsibilities
• Monitor relevant tender portals and identify potential opportunities
• Coordinate and manage the bid process, including bid requirements from the external multi-disciplinary team
• Facilitate communication during and after bids are submitted
• Collaborate with the Director and support staff to improve bid and tender submission quality
• Provide creative ideas and initiatives
• Ensure bid/tender success/conversion rate improves year on year
• Completion of high quality and accurate pre-qualification submissions for UK and Ireland based opportunities
• Assist in the creation of bidding strategies and delivery procedures focused on continuous improvement and added value
• Identify, understand and deliver stakeholder and client needs and expectations
• Ensure company information and bid related documentation is current
• Compliance with integrated management systems

Skills and Qualifications
• Coordinating the bid process (at least 3+ years’ experience), preferably within a construction background
• Microsoft Office
• Adobe InDesign
• Adobe Photoshop
• Writing effective bid submissions
• Meeting and working with bid contributors and managing the bid team towards deadlines
• Active involvement in client team meetings
• Building effective relationships at all levels
• Specific and varied experience of developing market opportunities
• Excellent demonstrable standard of written and spoken English

Preferred Qualifications and Skills
• Experience working with Monday.com
